Create Content Outlines

Content Outlines turns a Content Bank topic into an editable content brief that can be used to create a full draft.

Overview

An outline defines the intended title, angle, format, audience journey stage, search intent, structure and metadata for a piece of content.

You can:

Generate a researched outline with AI
Build an outline manually
Review and edit every section before saving
Add, remove and reorder sections, subsections and bullet points
Review suggested sources
Prepare a meta title and meta description
Copy the outline for use elsewhere
Regenerate an AI outline
Continue from the saved outline into Content Drafting

Saving a new outline creates its linked Action Board card and opens the Draft Workspace. It does not generate or publish the article automatically.

Access and scope

Content Outlines is connected to Content Bank, projects, workspaces and the Action Board.

When starting without a preselected topic, the context selector lists projects available in the active workspace. After choosing a project, select a cluster and topic. The optional status filter can narrow the topic list.

When Create draft is selected from Content Bank, Wheremore carries the selected project, cluster and topic into the outline workflow automatically.

The saved outline and its linked Board card are shared project records. Anyone with suitable access to that project can see the latest saved work.

When configured for the selected project, AI outline generation uses its target audience, brand voice, industry, target country and language as additional context.

Quick start

Open a topic or subtopic in Content Bank.
Select Create draft.
Choose Generate with AI or Build manually.
Review the title, unique angle, content type, journey stage and intent.
Review and edit the proposed sections, bullet points and subsections.
Check the suggested sources and metadata.
Select Save outline.
Use Create first draft when the outline is ready for drafting.

Select the content context

If the Draft Workspace opens without a topic already selected:

Select a Project in the active workspace.
Select a Cluster.
Optionally select a Status to filter the topic list.
Select the Topic.

The topic card displays the selected cluster, title and available classification information. Select the change control if you need to choose another topic before creating the outline.

The status selector filters topics; it does not change a topic’s status.

Choose how to create the outline

Generate with AI

Select Generate with AI when you want Wheremore to research the topic and propose a structured outline.

If the project has a brand voice, Wheremore applies it to the outline’s introduction, unique angle, section headings and bullet wording. Brand voice guides tone, register, stance and vocabulary; it does not override factual safeguards, source rules or structural requirements.

The progress display moves through:

Researching
Composing
Reviewing
Improving
Finalising

Keep the page open while generation is running. When it completes, Wheremore opens the review form. The generated result remains a proposal until you save it.

Build manually

Select Build manually to begin with a blank outline.

Wheremore supplies the selected topic context and a starter section. Complete the title, angle, classification, structure and metadata yourself.

Manual outlines use the same editor and save process as AI-generated outlines.

Review the outline details

Before saving, review:

Title: The working title for the piece.
Unique angle: The central argument, promise or perspective that should distinguish the content.
Content type: Blog post, Guide or Thought leadership.
Journey stage: Awareness, Consideration, Decision or Retention.
Intent: Informational, Commercial, Transactional, Educational or Navigational.

Character counters help keep:

Titles within 120 characters
Unique angles within 300 characters
Meta titles within 70 characters
Meta descriptions within 170 characters

These counters are editing guidance. Always favour a clear and accurate description of the intended content.

Edit sections and subsections

The Sections area defines the structure that Content Drafting will follow.

You can:

Edit a section heading
Add or remove bullet points
Add a subsection
Edit subsection headings and bullets
Add a new section
Move a section up or down
Delete a section, subsection or bullet point

Use bullet points to describe the claims, questions, examples or practical information the section should cover. They guide drafting but do not need to be final article copy.

Keep each section focused on a distinct purpose. Remove repeated instructions before generating a draft, because overlapping outline points can produce repetitive draft sections.

Review suggested sources

An AI-generated outline can include Suggested links found during research.

These sources carry through to Content Drafting and can be used as approved reference options. Open each source and confirm that it:

Supports the point it is associated with
Is relevant and credible
Is current enough for the subject
Does not contradict the proposed outline

Suggested sources are not automatically treated as verified facts. Review them before relying on them.

Manually created outlines may not contain suggested sources unless sources are added through another supported workflow.

Prepare metadata

Use Meta title and Meta description to prepare proposed search-result wording alongside the outline.

These values are stored with the outline and can inform the finished content. Saving them does not update the live website’s metadata.

Copy the outline

Select Copy outline to copy a readable version of the current structure.

This is useful for sharing a brief outside Wheremore. Copying does not save changes, create a Board card or create a draft.

Regenerate an outline

Select Regenerate during the initial review, or Regenerate outline after saving, to request a fresh AI proposal from the current content context.

Regeneration can replace the current outline structure. Copy any wording you want to retain before confirming the action.

Always review the replacement. Regeneration does not remove the need for editorial and source checks.

How project brand voice is used

Brand voice helps the AI-generated outline sound appropriate for the selected project. It can influence:

The tone and register of the introduction
How the unique angle or thesis is framed
The wording and stance of section headings
The vocabulary used in bullet points

Project audience, industry, target country and language can also influence the proposed structure and wording.

Brand voice is not used to invent authority or first-hand experience. Wheremore should not claim that the organisation performed research, testing or analysis unless that work is genuinely supported by the supplied context and evidence.

Review the result for brand fit before saving. If no project brand voice is configured, Wheremore uses its standard editorial approach.

Save a new outline

Select Save outline only after reviewing the proposed structure.

Saving:

Stores the outline against the selected content topic
Creates the linked Action Board card
Opens the saved Draft Workspace
Makes the Outline and Draft workflow available

Saving an outline does not create the full article, mark it ready or publish anything to the website.

If a Content Bank item already has linked drafting work, Content Bank opens that work instead of creating an unnecessary duplicate.

Edit a saved outline

The saved Outline tab lets you continue editing:

Title
Unique angle
Content type
Journey stage
Intent
Sections, subsections and bullet points
Meta title and meta description

Saved-outline edits are autosaved. Wait for the autosave status to confirm completion before leaving the page.

Changing the title also updates the linked Content Bank topic when that relationship is still valid.

Understand outline and draft synchronisation

A draft records the outline version from which it was generated.

If you change a saved outline after creating the draft, Wheremore can show:

Draft out of sync with outline.

Choose:

Keep draft as-is when the outline change does not require rewriting the current draft.
Regenerate full draft when the draft should be rebuilt from the revised outline.

Regenerating the full draft replaces the generated draft content. Copy or export anything that must be retained first.

Create the first draft

After saving and reviewing the outline, select Create first draft.

Wheremore switches to the Draft tab and generates the content section by section. Content Drafting has its own review, editing, source-checking, preview and readiness workflow.

What should I do next?

The structure is clear and complete: Save the outline and create the first draft.
Several sections repeat the same idea: Consolidate them before drafting.
The angle is too broad: Make the unique angle more specific and adjust the sections to support it.
A suggested source is weak or unrelated: Do not rely on it; refine the outline or use stronger evidence.
The outline changed after drafting: Decide whether to keep the draft or regenerate it.
The outline needs approval first: Save it, then manage the linked work through the Action Board before generating content.

Troubleshooting

No projects appear

Confirm that the correct workspace is active and that your account can access at least one project in it.

Clusters or topics do not appear

Select a project first. Confirm that the project’s Content Bank contains the expected clusters and topics. Clear the status filter if it is hiding the topic.

Generate with AI does not start

Confirm that a valid project, cluster and topic are selected. Keep the page open and avoid selecting the generation control repeatedly.

Outline generation takes a long time

Research and review are multi-stage operations. Leave the page open while the progress indicator is active. If a clear error appears, use the retry control.

The generated outline contains weak or repeated sections

Edit the structure directly or regenerate it. Tighten the unique angle and ensure each section has a separate purpose.

Save outline fails

Confirm that the selected topic still exists and belongs to an accessible project in the active workspace. Check that the title and required outline structure are present, then try again.

Changes to a saved outline are missing

Wait for the autosave confirmation before navigating away. Reload the workspace and confirm you are viewing the same Board card and Content Bank topic.

The draft is marked out of sync

The outline changed after the draft was created. Keep the existing draft or regenerate it from the revised outline.

No suggested sources appear

A manual outline may have no research sources. An AI outline can also return no suitable references. Drafting can continue, but factual claims still require appropriate editorial verification.

There is no outline to draft from

Return to Content Bank or the Action Board and open a valid linked item. The Board card must contain a saved outline before Content Drafting can begin.

Frequently asked questions

Does saving an outline publish content?

No. It saves planning data in Wheremore and creates the linked Action Board card.

Does saving an outline generate the draft?

No. Select Create first draft when you are ready.

Can I build an outline without AI?

Yes. Select Build manually.

Can I edit an AI-generated outline?

Yes. Every generated field and structural element should be reviewed and can be edited before saving.

Does outline generation use our project brand voice?

Yes, when a brand voice is configured for the selected project. It guides the outline’s tone, framing, headings and bullet wording. You should still review the result before saving.

Does the status filter change the Content Bank item?

No. It only narrows the list used to select a topic.

Are suggested sources automatically verified?

No. Open and check them before use.

What happens if I edit the outline after generating a draft?

Wheremore can mark the draft out of sync. You can keep the existing draft or regenerate it from the new outline.

Can I have several drafts for one topic?

The normal Content Bank workflow opens the existing linked draft rather than creating a duplicate.
