Workspaces

Workspaces organise your domains, projects and search groups into separate working contexts. You might use different workspaces for clients, regions, brands or business units.

Account owners can create, rename and delete workspaces. Other account members can use the workspaces available to them but cannot manage them.

Open Workspaces

Open the user menu and select Workspaces from the Account section.

The page lists the workspaces in your account. For each workspace, it shows the number of linked:

  • Domains
  • Projects
  • Search Groups

Use the pencil icon to rename a workspace. The bin icon is available when the account has another workspace that can remain in use.

Create a workspace

  1. Select New Workspace.
  2. Enter a workspace name.
  3. Select Create.

Names can contain up to 100 characters. Each name must be unique within the account, regardless of capitalisation. For example, you cannot create separate workspaces named Marketing  and marketing .

The new workspace appears in the workspace list. If the account now has more than one workspace, it also becomes available in the workspace switcher.

Choose a name that clearly identifies the client, region, brand or purpose of the workspace.

Select the active workspace

When more than one workspace is available, the workspace switcher appears in the Wheremore header. On smaller screens, it appears in the mobile menu.

Select a workspace to make it active. The page reloads, and workspace-aware pages use the selected workspace when displaying data or creating work.

Your selection is remembered in the same browser until you change it. The switcher is hidden when only one workspace is available.

Rename a workspace

  1. Find the workspace in the table.
  2. Select its pencil icon.
  3. Edit the name.
  4. Select Save.

Renaming changes only the workspace’s display name. Its linked domains, projects and search groups remain connected. Its internal and public API IDs do not change.

The new name must be no more than 100 characters and must not duplicate another workspace name in the account.

Delete a workspace

You can delete a workspace only when:

  • It has no linked domains.
  • It has no linked projects.
  • It has no linked search groups.
  • At least one other workspace exists in the account.

To delete an eligible workspace:

  1. Find the workspace in the table.
  2. Select its bin icon.
  3. Review the confirmation.
  4. Select Delete.

Deletion permanently removes the empty workspace record and cannot be undone.

If the workspace still contains linked items, the confirmation window shows a warning and disables Delete. Use the relevant domain, project or search-group area to remove or reassign those items before trying again.

If this is the account’s only workspace, the bin icon is not shown. Create another workspace before deleting the existing one.

Find a workspace API ID

Each workspace has a public ID for use with the Wheremore API.

  1. Open the user menu.
  2. Select API key from the Account section.
  3. Find Your Workspaces and Markets.
  4. Find the required workspace and select Copy ID.

Include the public ID in the workspace_id  field or parameter when making a workspace-specific API request.

Renaming a workspace does not change its public API ID.

If something does not look right

I cannot create or rename a workspace

Only an account owner can create or rename workspaces.

If you are the account owner, check that the name:

  • Is not empty.
  • Contains no more than 100 characters.
  • Does not duplicate another workspace name, including a name that differs only in capitalisation.

I cannot delete a workspace

Check the Domains, Projects and Search Groups counts. All three counts must be zero before deletion is available in the confirmation window.

The bin icon is missing

The workspace is the only workspace in the account. Every account must retain at least one workspace, so create another workspace first.

The workspace switcher is missing

The switcher is hidden when only one workspace is available. It appears when the account has two or more workspaces.

I selected a workspace but the expected data is missing

Check that the correct workspace is selected and refresh the page. If the data is still missing, confirm that the relevant domain, project or search group belongs to the selected workspace.

Frequently asked questions

Can account members create workspaces?

No. Only the account owner can create, rename or delete workspaces. Other account members can use the workspaces available to them.

Does renaming a workspace affect its contents?

No. Renaming changes only the displayed name. Linked domains, projects and search groups remain connected, and the workspace’s IDs do not change.

Does deleting a workspace delete its linked data?

A workspace cannot be deleted while it has linked domains, projects or search groups. Those items must be removed or reassigned first. Deleting the workspace then removes the empty workspace record.

Why can I not create two workspaces with similar names?

Workspace names are compared without regard to capitalisation. Names such as Marketing  and marketing  are therefore treated as duplicates.
