Notifications

Email notifications let you know when an analysis finishes, content is ready, or a saved choice needs your review. Use them to return to saved work and review steps without repeatedly checking each feature.

Open the Email notifications page to choose which emails you receive. You can also follow Manage email notifications in an analysis or content notification email.

Change your notification preferences

  1. Sign in to Wheremore and open Email notifications.
  2. Wait for Changes save automatically.
  3. Turn the switch beside a feature on or off.
  4. Wait for Saved. before leaving the page.

There is no separate Save button. Each switch saves independently. The switches are temporarily unavailable while preferences load or a change is being saved.

These choices apply to your account across your projects and workspaces. They do not change another team member’s preferences. Notifications normally go to the email address of the account that started the work. Claims notifications can also relate to an automatic run associated with that account; they are not announcements to everyone in the workspace.

Where you have not already chosen a preference, these notifications default to on. An existing choice to turn a notification off is retained.

Email preferences do not make a workflow run automatically or move it past a decision that needs your approval. Turning a notification off changes email delivery only. It does not cancel work, remove saved results, change monitoring schedules or disable AI features. Turning it back on does not send a backlog of missed emails. Other Wheremore emails that are not listed on this page are unaffected.

AI analysis reports

The AI analysis reports section has seven switches. Report-ready emails depend on the completed result being saved and available to open.

Setting When an email can be sent
Conversation Insight When an analysis you started finishes, or reaches a confirmed failure that cannot be completed through the available recovery steps. Covers Standard and Enhanced analysis.
Segment Insight & Cross-Persona One email for the outcome of the whole analysis, covering the completed persona reports, the Cross-Persona report where requested, and any reports that could not be completed. Covers single-persona and cross-persona analysis, Standard and Enhanced.
Conversion Performance When a saved report is ready. There is no failure email for this feature.
User Behaviour When a saved report is ready, or the analysis reaches a confirmed failure without a retained completed result. Work awaiting review does not produce a failure email.
Content Optimisation When the assessment has a saved report ready. Covers live pages, saved drafts and pasted content. There is no failure email for this feature.
Search Performance When a keyword analysis has a saved report ready. Covers AI analyses and evidence summaries. There is no failure email for this feature.
Keyword Cannibalisation When a saved report is ready, including a report that recommends no changes. There is no failure email for this feature.

A delay, a balance update still being resolved, or a run awaiting review is not automatically treated as a confirmed failure. Waiting longer does not turn a report-ready notification into a failure email.

For Segment Insight & Cross-Persona, one analysis can produce several reports, but it does not send a separate email for each persona. If only some reports complete, the email explains that outcome.

Claims notifications

Claims has two separate switches because collecting claims and checking their accuracy are different tasks.

Setting What it tells you
Claims Inventory Updates A new or refreshed Claims inventory has been published and is ready to view. If only part of the expected monitoring data could be analysed, the email identifies the partial coverage.
Claims Verification Completed A selected group of claims or a whole automatic verification cycle has finished with completed results available. The email identifies any incomplete or failed checks within that run.

An inventory email does not mean the claims have been verified. A verification completion email does not mean every claim was found accurate. Open Claims to read the findings and their limitations.

Verification emails are sent for a manually selected group of at least two claims, or once the whole automatic cycle finishes. A check started with Check eligible claims now also follows the whole-cycle rule. Individual manual checks and intermediate batches do not each send an email. An empty cycle, a stopped cycle, or a run with no completed results does not send a verification-completed email.

These switches control emails only. They do not enable Verify new claims automatically, Verify changed claims automatically or Monitor saved evidence. Those controls belong to Claims settings. See the AI Visibility Claims guide for starting checks and managing automation.

The Open Claims link shows a summary of the original notification and opens the project’s current inventory. The current inventory may contain later updates; it is not a frozen copy of the emailed inventory.

Content notifications

The Content notifications section covers work that is ready to review or continue. A review email can arrive before the final content is complete.

Setting When an email can be sent
Content Repurposing When angles are ready to choose for a platform, and later when all requested posts or scripts are saved and ready. LinkedIn, X and YouTube angle choices can each produce their own review email.
Content Outline When thesis choices are ready, when a proposed change to the article direction needs approval, and when the completed outline is ready to review and save.
Content Drafting When a full draft you requested is saved and ready to review. Single-section changes, imports and manual edits do not send an email.
Content Cluster When a content clustering job you started finishes organising your sitemap into clusters.

Continue from an outline email

A thesis or direction email means that the outline is waiting for a decision. Select Review article direction to open the saved choices, then choose or approve the direction in Wheremore.

Opening the email link does not approve a choice or start new generation by itself. A later outline-ready email tells you that the outline is ready for review and saving; it does not mean you have already approved or saved it.

The Content Outline switch covers both review prompts and the final outline notification. There are no separate switches for thesis choices, direction changes and the completed outline.

Continue from a repurposing email

An angles-ready email means the choices are available, not that the posts or script have been generated. Select Choose angles, choose the angles you want, and start generation in Wheremore.

The final content-ready email follows when all requested outputs are saved and ready. It does not mean the posts or script have been published to a social platform.

The Content Repurposing switch covers both angle-review and final-content emails. If you generate a different set of angles, those new choices can create another review notification.

Why you may not receive an email

An enabled switch does not guarantee an email for every stage or every run.

  • You already viewed the result. AI report notifications and outline, drafting and repurposing notifications can be skipped when Wheremore has recorded that you viewed the relevant result before the email was sent. Simply having a page open in a background tab is not the same as viewing that result.
  • You already handled the choice. An outline or repurposing review email is skipped if you have already viewed, used or resolved those choices, or if a newer choice has replaced them.
  • The work has not reached an eligible outcome. A report that is still processing or awaiting review is not yet ready for a report-ready email. Only the features described above send confirmed-failure emails.
  • The preference was off. An email can be skipped if the relevant preference was off when the result or choices became ready, or was turned off before sending. Turning it on later does not recover that skipped email.
  • The saved work or access is no longer available. Deleting the work, removing its project or losing access can prevent delivery or make an existing link unavailable.

Claims notifications are completion updates and are not skipped merely because you already viewed Claims. Content Cluster also uses its completion email rather than the viewed-result rule used by AI report notifications.

Most report and content-review notifications allow a short delay before sending, giving you time to view the result in Wheremore. Background processing and email delivery can add further delay, so an email is not an exact timer for when work finished.

Open saved work from an email

Use the email’s action button to open the work it refers to. Sign in with the account that received the notification if prompted. You still need access to the relevant project or workspace.

Opening a notification link does not repeat the analysis or automatically generate new content. For review prompts, you make the next choice in Wheremore.

If a report was deleted or review choices were replaced, an old email does not restore them. Return to the feature to find available saved reports, or open the item in Content Bank to see its current work.

If something does not look right

A switch will not save

Wait for Saved. If an error appears, select Try again to reload the saved preferences before changing the switch again. If your session has expired, sign in again and reload the page.

If you changed preferences in another browser tab, reload to see the latest saved choice. Do not rely on the switch’s appearance while a save error is showing.

The work finished but no email arrived

  1. Check the relevant switch on Email notifications.
  2. Check the feature itself to see whether the work completed, is still running or needs attention.
  3. Check whether you already viewed the result or handled the review choices.
  4. Allow time for delivery and check your spam or junk folder.
  5. If the email is still missing, contact support with the feature name, project and approximate completion time.

Do not start another paid analysis just to obtain an email. The saved work may already be available in Wheremore.

You may have already made the decision, started generation or replaced the choices. Open the content in Wheremore and continue from its current state.

I received an email after turning the switch off

An email already handed to the delivery service cannot be recalled. Check that your preference now shows the intended state and Saved. before leaving the page.
