Action Board
Drag-and-drop task management for digital marketing workflows—turning AI recommendations and manual tasks into organised, trackable actions.
Quick start
1. Select your workspace and project from the filters bar.
2. Review tasks in the To do column — these are ready to action.
3. Drag a card to In progress when work begins.
4. Open any card to update details, add notes, or reassign it.
5. Move the card to Done when the work is complete.
Tasks from AI Analysis arrive pre-filled with a keyword, page URL, and recommended change. These appear automatically in To do. You can also create your own.
Understanding the display

The three columns
The board uses three columns that map to a simple workflow:
| Column | Purpose |
| To do | Tasks ready to start. New tasks and AI recommendations land here. |
| In progress | Work that is actively underway. |
| Done | Completed tasks. Cards remain visible for reference. |
Task cards
Each card shows the information needed to act without opening the detail view:
• Title — what needs to be done, often the target keyword.
• Description preview — the first line of the task body.
• Due date — displayed top-right when set.
• Priority badge — colour-coded dot and label.
• Tags — pink chips showing any labels applied to the card.
• Project — shown bottom-right when the task belongs to a project.
Priority colours
| Priority | Colour |
| Immediate | Pink dot |
| Near Term | Dark dot |
| Can Wait | Grey dot |
What should I do next?
Task priority determines where to focus effort:
| Situation | Action |
| Many Immediate tasks | Focus here first. These deliver the highest impact. |
| Balanced workload | Work through Immediate items, then Near-term. |
| Todo column overflowing | Use filters to identify highest-priority items. |
| Tasks from AI Analysis | Review recommendations, edit if needed, then begin work. |
| Completed milestone | Archive Done column periodically to maintain clarity. |
Using the filters
The filter bar narrows visible tasks across all columns:
| Filter | Function |
| Project | Show tasks for one project only |
| Assigned | Show tasks assigned to a specific team member |
| Priority | Show tasks matching a priority level |
| Due | Show tasks due within a timeframe (overdue, 7 days, 30 days, none) |
| Tags | Show tasks with specific tags |
| Search | Find tasks containing specific text |
Filters combine—selecting a project and priority shows only matching tasks. Clear filters by resetting dropdowns to their default values.
Creating tasks
Tasks can be created manually or added from AI Analysis recommendations.

Manual creation
5. Click + in the target column
6. Enter a title and description
7. Select a project (required)
8. Set priority, due date, and assignee as needed
9. Click Save Changes
From AI Analysis
AI Analysis (from Average Position Chart or Page Analysis) generates recommendations that can be added directly to Action Board. Click
+ Add to Kanban on any recommendation, select the project board, and the task creates with all context pre-filled.
Managing tasks
Editing
Click any card to open the edit modal. All fields can be modified. Changes save when clicking
Save Changes.
Moving between columns
Drag cards to change status. Cards can also be reordered within a column to adjust priority visually.
Deleting
Hover over a card and click the trash icon to delete. Deletion is immediate—no confirmation required.
Tags
Tags group related tasks and make filtering faster. The tag panel shows all tags, how many tasks use each one, and controls for renaming and deleting.
Opening the tag panel
Click Manage tags in the filters bar. The panel slides in from the right. It stays open alongside the task modal, so tags can be managed without losing a task in progress.
Creating a tag
1. Type the tag name in the New tag name field at the bottom of the panel.
2. Click Add or press Enter.
3. The tag appears in the list and becomes available in all tag selectors.
Tags can also be created inline from the Tags field inside the task modal — type a name and select Create tag from the dropdown.
Renaming a tag
4. Click the pencil icon on any tag row.
5. Edit the name in the field that appears.
6. Click Save or press Enter to confirm. Press Escape to cancel.
Renaming updates the tag everywhere it appears — all existing tasks carry the new name automatically.
Deleting a tag
Click the trash icon on the tag row. A confirmation appears showing how many tasks use the tag. Confirming removes the tag from all tasks and the list. This action cannot be undone.
The tag panel shows a count for each tag. Tags with zero tasks are safe to delete without affecting any work.
Tag ownership
Tags show Rename and Delete controls only for tags created by the current account. Tags shared from another team member show Shared and cannot be edited.
Troubleshooting
| Issue | Resolution |
| No tasks showing | Check that the correct workspace and project are selected in the filters. Try setting all filters to Any. Tasks require a project to be assigned — unprojecte tasks do not appear. |
| Card will not save | Title and project are required fields. Both must be filled before saving. |
| Assigned To list is empty | The Assigned To list shows team members who have access to the selected project. Select a project first, then check the assignee list. |
| Tag not appearing in list | Tags are workspace-scoped. Switch to the correct workspace — tags created in one workspace do not appear in another. |
| Cannot rename or delete tag | The tag was created by another team member. Shared tags display a Shared label and cannot be edited from this account. |
| Filters not clearing on workspace switch | Changing workspace resets all filters automatically. If filters appear stuck, reload the page. |
FAQ
How do tasks get added from AI Analysis?
When AI Analysis produces a recommendation, clicking + Add to Action Board creates a task automatically. The keyword, page URL, priority, and recommended change pre-fill from the analysis. The task lands in the To do column of the selected project board.
Can I create tasks without using AI Analysis?
Yes. Click the + icon in any column header to create a task manually. All fields are available, including title, description, due date, assignee, priority, and tags.
Does moving a card between columns update its status?
Yes. Dragging a card to a new column saves its status immediately. Reopening the card shows the updated status in the Status field.
What happens to tasks when I switch workspace?
Switching workspace resets all filters and loads tasks for the new workspace. Tasks are not shared between workspaces.
Can I assign a task to someone outside my team?
Assignees must have access to the selected project. The Assigned To list shows only eligible team members. If someone is missing from the list, they need project access first.
Can multiple tags be applied to one task?
Yes. The Tags field accepts multiple tags. Select from existing tags or type to create new ones. All selected tags appear as pink chips on the card.
Is there a limit on the number of tasks or tags?
There is no enforced limit on tasks or tags. For performance, using projects to keep boards focused makes filtering and navigation faster.
