AI Visibility Key Items Tracker
The Key Item Tracker shows which saved key items AI platforms associate with Your Brands when they include your company or products in monitored answers.
Use the heatmap to see whether the benefits, capabilities and differentiators you want to own are consistently present in the AI platforms’ reasons for mentioning your brands.
What the chart measures
For each key item and monitoring date, Wheremore calculates:
Your Brands appearances whose provider rationale uses the key item ÷ all qualifying Your Brands appearances for configurations tracking that item × 100
A qualifying appearance is a processed monitoring response in which a structured provider record matches a name or alias saved under Your Brands.
The chart checks the provider rationale attached to that appearance. It does not count every occurrence of the phrase anywhere in the answer.
Example
Suppose integration is assigned to two monitoring configurations. On one date:
- Your Brands appear in 10 qualifying responses from those configurations; and
- the provider rationale uses integration in 7 of them.
The heatmap displays 70% for integration on that date.
Before data appears
The selected project needs:
- An AI Visibility monitoring configuration.
- Monitoring questions assigned to customer journey phases.
- One or more selected AI platforms.
- Completed and processed monitoring responses.
- At least one company or product name saved under Your Brands in AI Visibility Settings.
- Key items assigned to the relevant monitoring configurations.
Quick start
- Open the AI Visibility Dashboard.
- Select the required project.
- Choose a date range.
- Leave Journey Phase, Configuration, Platform and Provider Position at their broadest settings for an initial overview.
- Read each row as a key item and each column as a monitoring date.
- Hover over a cell to see its percentage, matched appearances and total qualifying appearances.
- Narrow the filters to investigate a particular journey phase, configuration, platform or provider position.
- Open AI Platform Conversation Responses to inspect the answers and provider rationales behind an unexpected result.
Apply the dashboard filters
Project
The project determines the configurations, settings, key items and monitoring responses used by the chart.
Projects are limited to those available in the active workspace.
Date Range
Choose a preset period or a custom start and end date. Dates are interpreted as UTC calendar dates and both custom boundaries are included.
The chart displays only monitoring dates on which at least one of the visible key items has a qualifying Your Brands appearance.
Journey Phase
Use Journey Phase to focus on questions assigned to Awareness, Consideration or Decision.
An item may be strongly associated with Your Brands in one phase and absent in another.
Configuration
Select a configuration to examine one audience, proposition or monitoring setup.
This is particularly useful because key items are configuration-specific. The same item can be assigned to several configurations, but only eligible responses from configurations tracking that item enter its calculation.
Platform
Use Platform to compare how a particular AI platform explains or positions Your Brands.
Platform filters use the same identifiers as the monitoring configuration and processed response data.
Provider Position
Provider Position controls which Your Brands appearances qualify:
- Mentioned Anywhere includes any positive structured provider rank.
- Top 3 includes appearances ranked from 1 to 3.
- #1 includes only appearances ranked first.
Narrowing this filter can reveal which key items accompany stronger recommendation positions.
Read the heatmap
- Each row is a saved key item.
- Each column is a monitoring date.
- A pale cell indicates a lower percentage.
- A stronger pink cell indicates a higher percentage.
- The colour scale is fixed from 0% to 100%, so colour intensity remains comparable across dates and filter changes.
- Hover over a cell to view the percentage and the hard numbers behind it.
The chart displays up to five key items at once. Wheremore prioritises items with the strongest observed use and evidence volume. Use the Configuration filter to focus on items assigned to a particular configuration.
Read the tooltip
A measured cell uses this format:
40.0% · used in 2 of 5 Your Brands appearances
The hard numbers explain the percentage:
- 2 is the number of qualifying appearances whose provider rationale used the key item.
- 5 is the total number of qualifying Your Brands appearances for configurations tracking that item on that date.
- 40.0% is 2 divided by 5, expressed as a percentage.
The denominator is specific to the key item. Cells in the same date column can have different totals when the items belong to different configurations.
Understand 0% and blank cells
These states mean different things:
- 0% means qualifying Your Brands appearances existed, but none used the key item in their provider rationale.
- A blank cell means there were no qualifying Your Brands appearances for that item on that date.
A blank cell is missing evidence, not a zero result. Monitoring may also run only on selected weekdays, so gaps between measured dates are expected.
Understand different denominators
Key items can belong to different configurations. They can therefore be based on different:
- questions;
- customer journey phases;
- AI platforms;
- processing schedules; and
- numbers of qualifying Your Brands appearances.
Do not assume that two equal percentages represent the same amount of evidence. Always check the denominator in the tooltip before comparing items.
What counts as use of a key item
Matching is:
- case-insensitive;
- based on the saved item text; and
- bounded so short items do not match inside unrelated longer words.
For example, the item AI should not be counted merely because those letters appear inside another word.
If Your Brands appear but the structured provider rationale is empty, the appearance remains in the denominator but cannot count as use of the item.
Settings changes and historical results
The chart applies the current Your Brands aliases and current configuration-to-item assignments to the selected historical monitoring records.
Therefore:
- adding or removing a brand alias can change which historical provider records qualify;
- assigning an item to another configuration can change the historical evidence included for that item; and
- renaming or replacing a key item can change historical text matching.
Keep important tracking terms stable when you need a continuous trend. Record material settings changes so later movements remain explainable.
Disabling a configuration stops future scheduling but does not remove its completed historical monitoring results.
What the chart does not measure
The Key Item Tracker does not measure:
- how frequently Your Brands appear across all answers;
- Share of Voice;
- competitive rank or Competitive Win Rate;
- sentiment towards the item or brand;
- whether the answer is accurate;
- citations or cited-domain authority;
- search demand or keyword volume;
- website rankings, traffic, engagement, revenue or conversions; or
- every use of the phrase in the full answer text.
A high percentage means the item is consistently present in the structured reason given for Your Brands. It does not prove the association is positive, accurate or commercially valuable.
What should I do next?
If a strategically important item is weak or absent:
- Open AI Platform Conversation Responses and inspect the underlying answers.
- Check whether the item is genuinely assigned to the intended configurations.
- Review whether the monitoring questions give AI platforms a relevant opportunity to discuss it.
- Compare Customer Journey Phase Progression to see whether the gap is phase-specific.
- Use Share of Voice and Competitive Win Rate to determine whether the issue is limited to message association or reflects a broader visibility problem.
- Review Conversation Sentiment Analysis to understand how the brand is framed.
- Review Citation Rate Analysis and cited sources to see what evidence AI platforms rely on.
- Improve the relevant product, service and supporting content pages with clear, verifiable evidence of the capability.
- Continue monitoring and compare later measured dates.
Data timing
The chart uses completed responses that have passed through the raw-response processor and produced structured provider records.
The latest date may be incomplete while jobs remain pending, running or awaiting processing. Results are not real time.
Google AI Mode follows the same qualification rule: Wheremore needs a structured Your Brands provider appearance and checks that provider's rationale for the key item. Answer-level citations and general answer text do not qualify on their own.
Troubleshooting
Select a project appears
- Select a project in the dashboard controls.
- Confirm the active workspace is correct.
- Confirm you have access to the project.
Add at least one of your brand names appears
- Open AI Visibility Settings.
- Add specific company and product aliases under Your Brands.
- Save the settings and refresh the dashboard.
- Avoid overly broad or generic aliases.
No key items are configured
- Open the relevant monitoring configuration.
- Add or assign key items.
- Confirm the items are attached to the intended configuration.
No qualifying brand appearances were found
- Increase the date range.
- Return Journey Phase, Configuration and Platform to their all-values settings.
- Set Provider Position to Mentioned Anywhere.
- Confirm monitoring jobs completed successfully.
- Confirm saved aliases match the structured provider names in the monitored responses.
A key item is missing from the chart
- The chart displays up to five prioritised items.
- Select the relevant configuration to narrow the available items.
- Confirm the item is assigned to that configuration.
- Check whether the item has any qualifying evidence in the selected filters.
A cell unexpectedly shows 0%
- Qualifying Your Brands appearances existed, but their provider rationales did not use the saved item text.
- The tooltip should show used in 0 of the non-zero appearance total.
- Check spelling and wording of the item.
- Inspect the provider rationales in AI Platform Conversation Responses.
- Check whether AI platforms use a synonym rather than the exact item.
- Review the tooltip denominator before drawing a conclusion.
Dates are blank or missing
- A blank cell means no qualifying appearance for that item and date.
- The chart omits dates with no qualifying evidence for any displayed item.
- Review the configuration’s selected processing days.
- Check whether the latest queue and raw-processing jobs have finished.
The percentage changed sharply
- Compare the matched and total appearances in both tooltips.
- One additional key-item match can produce a large percentage movement when there are few qualifying appearances.
- Confirm the project, filters, Provider Position, item text and configuration assignments are unchanged.
The result changed after editing settings
- Current brand aliases and item assignments are applied to historical responses.
- Review recent changes to Your Brands, key item text and configuration assignments.
The chart differs from another AI Visibility report
- Match the project, date range, journey phase, configuration, platform and Provider Position.
- Remember that this chart measures key-item use in structured provider rationales, while other reports measure appearances, rank, sentiment or citations.
Key Item Tracker could not be loaded
- Select Retry.
- Refresh the page if the session expired.
- Confirm the project belongs to the active workspace.
- Check that monitoring runs and structured provider records are available.
- Ask an administrator to review the WordPress error log if the problem continues.
