Managing Keywords

Add target search terms, organise them by website and refresh the metrics used to prioritise SEO work.


Overview

The Keywords tab lists the search terms saved against websites in the active workspace. Each row can show its website, categories, search volume and keyword difficulty.


Saving a keyword and tracking a keyword are separate steps. A keyword can be stored and categorised without a market, but ranking checks start only after the website has an active market.


Quick start

  1. Select a website.
  2. Select + Add keywords.
  3. Enter one keyword per line.
  4. Choose any categories.
  5. Save the keywords.

Existing keywords are skipped and reported in the confirmation message.


Understand the table

Column Meaning
Keyword The tracked or saved search term
Website The domain that owns the keyword
Categories The groups assigned to the keyword
Volume Estimated monthly search demand
KD Keyword difficulty, shown as a score or level
Delete Permanently removes the keyword

Use the search field to find a term, the category selector to narrow the list and Show to change the number of rows on each page. Select a sortable heading to change the order.


The summary chips show keyword, website, category and uncategorised totals for the current view.


Add keywords

  1. Select a specific website.
  2. Select + Add keywords.
  3. Enter one keyword per line.
  4. Select any required categories.
  5. Save the list.

When markets already exist, Wheremore adds the new keywords to the relevant tracking setups. When no market exists, the keywords are saved and a message explains that a market is required to start tracking.


Organise keywords

Select Assign category on an uncategorised row or use the plus icon beside existing category chips. Select the remove icon inside a chip to unlink it.


Categories affect organisation and filtering. They do not change a market’s location, device or search engine.


Refresh KD and volume

Keyword difficulty and volume provide prioritisation context. The refresh applies to the selected website, not every website in the workspace.


  1. Select a specific website.
  2. Select Fetch KD & volume.
  3. Keep the page open while both requests run.
  4. Review the completion message.
  5. Refresh the table if updated values are not immediately visible.

The account needs enough available credits for the requested refresh. Large keyword sets are processed in batches, so they take longer than small sets.


Difficulty and volume update independently. If one succeeds and the other fails, Wheremore keeps the successful result and reports the other outcome. Some unusually long phrases are skipped during volume lookup and identified in the message.


Interpret the metrics

Search volume estimates relative demand. Keyword difficulty estimates how competitive a term is likely to be.


Use both figures with ranking position, business relevance and search intent. A high-volume term is not automatically more valuable, and a low difficulty score does not guarantee a ranking.


Delete a keyword

  1. Find the keyword row.
  2. Select the delete icon.
  3. Review the confirmation.
  4. Confirm deletion.

Deletion removes the keyword and its connected tracking history and assignments. This action cannot be undone.


What should I do next?

Situation Action
Keyword is saved but has no rankings Add or activate a market for its website.
Keyword has no category Assign a useful topic or intent category.
Volume or KD is blank Run Fetch KD & volume for that website.
One metric refresh fails Keep the successful result and follow the displayed message.
Keyword is irrelevant Delete it after confirming its history is no longer needed.

Troubleshooting

A keyword saved but is not tracking

  1. Open Markets.
  2. Confirm that the website has a market.
  3. Confirm that the market is Active.
  4. Wait for the next ranking collection.

Fetch KD & volume is unavailable

Select a specific website instead of All websites.


The metric refresh takes a long time

Keep the page open. Large keyword sets are processed in batches and take longer to complete.


Only one metric updated

Read the completion message. Difficulty and volume run independently, so one result can be saved when the other request fails.


Some volume values were skipped

The volume service does not accept some unusually long phrases. Shorten those terms only if the shorter phrase still matches the tracking goal.


A keyword already exists

Wheremore skips duplicate terms for the selected website. Use the existing row instead.


Frequently asked questions

Do keywords need a market before they are added?

No. They can be saved and categorised first. Add a market when ranking collection should begin.


Does refreshing metrics change rankings?

No. It updates volume and difficulty reference data only.


Does the refresh cover all websites?

No. It uses the website selected when the refresh starts.


Can I close the page during a refresh?

Keep the page open until the completion message appears.


Are volume and difficulty guarantees?

No. They are planning signals and should be assessed with relevance, intent and live ranking data.
